POSITION:  Proposal Coordinator (Full-time)

POSITION DESCRIPTION

OVERVIEW: Successful candidate is responsible for coordinating and producing compelling, creative, well-designed statements of qualifications (SOQs) and proposals in response to client requests for qualifications (RFQs) and requests for proposals (RFPs). This work includes interfacing with marketing, administrative, and technical staff, as well as subconsultants, to strategize regarding overall objectives, layout, content, and delivery schedule to ensure compliance with each RFQ or RFP.

The Proposal Coordinator will oversee the collection of necessary information from team members and subconsultants, and will develop and deliver the SOQs and proposals (collectively referred to as “SOQs” herein for simplicity) within the required timeframe. Frequently, multiple SOQs are being developed simultaneously. This position reports directly to, and routinely works closely with, the Vice President of Marketing.

TYPICAL ACTIVITIES: 

  • Coordinate with the VP of Marketing to maintain an updated list of clients and potential clients from whom to anticipate and seek RFQ or RFP opportunities.

  • Screen RFQ and RFP opportunities and help gather information for go/no-go decisions.

  • Monitor companywide competitive RFQ pursuit success rate.

  • Monitor the quality of competitor SOQs.

  • Thoroughly review RFPs/RFQs to identify all requirements and criteria for submittal and evaluation.

  • Oversee the SOQ kickoff meeting to discuss the detailed schedule, outline, resource needs, responsible contributors and guidelines with the proposal development team.

  • Lead the development of customized SOQs and subsequent interview presentations, when required, ensuring compliance with RFQ/RFP guidelines and schedule requirements.

  • Collaborate with project managers, technical teams, stakeholders, partners, and subject matter experts to gather technical content and develop a tailored response to each RFQ/RFP.

  • Manage multiple SOQs simultaneously, appropriately prioritizing to meet strict deadlines.

  • Assist with various administrative needs as time permits.

QUALIFICATIONS

BS or BA in Marketing, Communication, Public Relations or a related field with 3+ years of experience. Additional qualifications include:

  • High proficiency in Adobe InDesign and familiarity with full Adobe Creative Suite

  • High proficiency in Microsoft Office Suite, particularly MS Word and PowerPoint

  • Proven success designing and executing clear, concise, compelling marketing materials

  • Familiar with Water Sector trends and able to independently stay abreast of coming trends

  • Capable of effectively working both independently and in a team environment

  • Capable of simultaneously managing multiple projects with different deadlines

  • Experienced with Cosential CRM software
